What Are Project Workflows?
Project Workflows allow you to automate the review and approval process for project reports. They define how submissions move through different approval stages, who reviews them, and when notifications are triggered. This helps ensure consistency, accountability, and timely communication across your team.
Creating your First Workflow Template
Follow the steps below to create a Template:
1. Go into the Account Portal
2. Click on 'General Settings'
3. Click on the 'Workflow Manager' tab
4. Click on the 'ADD TEMPLATE' button
5. Fill out the Workflow Template details
6. Click the 'ADD' button to create the template
7. Click the 'Add' button to add requestees to the template
8. Add the requestee(s) Title, E-mail address, Priority, and Threshold (if applicable)
Priority works from lowest to highest value, so if you assign “1” then it will send the document to that person first. Below is an example of a common workflow with a contractor, supervisor, and then the client.
Assigning a Workflow to your Project(s)
To configure a workflow for a project:
Go to the Project Portal.
Select your Project.
Click on the Workflow tab.
Click Edit Workflow Settings to begin.
Only users with the appropriate permissions (e.g., Project Managers or Admin roles) can create or update workflows.
Different Workflow Triggers
Different document types will have different triggers to start the workflow process. The table below summarizes each trigger:
Document Type | Trigger |
Inspection | Mark as Reviewed (Inspector) |
Payment Certificate | Closed |
Tender | Awarded |
Document | Uploaded |
Change Order | Manual trigger |
Invoice | Created |
Project Schedule | Coming soon — TBD |
Best Practices
Regularly review workflows to reflect any changes in project roles or reporting needs.
Communicate workflow expectations to all team members.
FAQs
Can I edit a workflow after it's started?
In a way, yes. You can only edit the workflow template, if an occurrence of the workflow already started then the changes will apply on the next occurrence.
Why didn't my workflow trigger?
Make sure the report template is linked to the workflow and the trigger conditions are correctly set.
