Creating and Managing Inspection Templates
Standardize your inspection process across projects.
1. Overview of Inspection Templates
What Are Inspection Templates?
Inspection templates are standardized forms used to streamline data entry for recurring items such as labor, equipment, and common inspection points across similar projects. These templates serve as a reusable framework for inspectors, ensuring consistency and efficiency in field reporting.
Why Use Them?
Efficiency: Save time by reducing repetitive data entry.
Consistency: Ensure all inspectors capture the same required information.
Compliance: Maintain standardized documentation for audits and client reporting.
Where Are They Used?
Once created and configured in the web portal, inspection templates can be applied across projects and accessed in two main places:
Mobile App: Inspectors can quickly select and apply templates while on site.
Inspection Portal: Templates are available for use when generating reports through the web interface.
2. Creating a New Inspection Template
To create a Template, follow the steps below:
1. Click on the Project Portal
2. Select a project
3. Click on the Templates tab
4. Click on the “Create New” button
5. Select the Inspection form and name the Template
3. Adding and Configuring Inspection Fields
Let's go onto the equipment field and create a new equipment item that is used almost every day in our Daily Repot. Before we add the equipment item, let's set up our “Quantity Fields”. “Quantity Fields” allow users to dynamically change the values in the fields selected in the drop-down, up to two quantity field(s) can be used per sub-inspection.
Let's create our first Equipment item, to do this follow the steps below:
- Click on the Equipment tab
- Click the Add button
- Fill out the first equipment item(s) details
- Repeat steps 2 and 3 until all of your items are added to the template
Now, let's create our first Tender item, to do this follow the steps below:
- Click on the Labour tab
- Click the Add button
- Fill out the first tender item(s) details
- Repeat steps 2 and 3 until all of your items are added to the template
4. Managing Existing Templates
Now that you've created items for your template, let’s return to the Project Template tab and review how to edit, duplicate, and delete an inspection template.
Editing an Inspection Template
To edit an inspection template, simply click the Edit button—just like you did after creating the template.
⚠️ Editing a template does not affect previously submitted reports. Historical submissions will remain unchanged, but future uses of the template will reflect your updates.
Duplicating an Inspection Template
Click the Duplicate button to create a copy of an existing template.
This is especially useful if you have multiple crews requiring similar sub-inspection items. You can duplicate a base template and then adjust specific values as needed, saving time while maintaining consistency.
Deleting an Inspection Template
To delete a template, click the Delete button.
⚠️ Important: Deleting a template is permanent and cannot be undone. Be sure you no longer need the template before proceeding.

9. FAQs and Troubleshooting
Why isn’t my template showing up on a project?
You may have the wrong project or inspection form.
Can I edit a template that’s in use?
Yes, you can!
What happens if I delete a entry?
It will be gone from the template for any future inspections.
