What is an External User?
If you want to add users outside of your organization to a project, it is recommended that you do this by adding them as external users. External users can be added directly to the project you want to provide access to, with the permissions that you set for those users being more limited to users that were added internally. This can be a good thing if you do not want the external users to be making modifications to your catalogue or project, to name a few examples.
How to add external users to your project
Now that we are more familiar with external users, let's discuss how you can add them to your next project:
1. Go into the 'Project' portal
2. Navigate to the project you wish to share
3. With the project selected, click on the 'Red Pencil' button
4. Click onto the 'External Users' tab, and then click on the 'Add User' button
5. Fill in the e-mail of the user you wish to add, and then click on the 'OK' button
6. That's it! Repeat the process above if you have more than one user to add to the project.
External User Permissions
How to add user's Permissions
- On the 'External Users' tab, double left-click on any of the permission cells for that user.
Inspection Permissions
- None: The user can not create or edit inspections.
- Viewer: The user can only view and download inspections in the project.
- Inspector: The user can create and edit their own inspections for this project.
- Supervisor: Same permissions as the 'Inspector,' plus the user can edit other users' inspections.
Tender/Bid Permissions
- None: The user has no tendering permissions.
- Viewer: The user can only view and download the tender/bid.
- User: The user can edit the tender for this project. The user can also add contract items to their inspections if they have the 'Inspector' or higher inspection permission.
- Manager: Same permissions as the 'User,' plus the user has access to the tender configuration pages, and creating their own tenders for a specific project. The configuration pages include tender details, tender specific specifications, tender documents, approving the tender, editing addendums, and awarding the tender.
Form Permissions
All Forms: The user has access to all of the forms on the account.
Account Specific Forms: The user only has access to one inspection form, for example, a "Daily Report" form.
