The Project Portal in Builterra is the central hub for managing everything related to a project—from setup to execution and reporting. Whether you're a project manager, inspector, or admin, this portal provides the structure and tools needed to streamline collaboration, enforce consistency, and maintain project control throughout the lifecycle of a job.
What is the Project Portal?
The Project Portal is a workspace where all key project information is created, stored, and accessed. It acts as the one-stop-shop for for each project in Builterra, providing access to. In this article we will briefly talk about the following topics:
Project details and dashboards
Real-time data connections
User permission settings
Document and drawing management
Inspections, RFIs, submittals, and transmittals
Each project in Builterra is built around this portal, with configurations and data flowing into other parts of the system like inspection templates, payment certificates, and reporting tools.
Why It Matters
1. Standardization
The portal helps you enforce standard processes across projects by allowing you to configure workflows, inspection templates, and document folders—ensuring consistency from job to job.
2. Visibility
With features like dashboards and ad hoc reporting, project stakeholders can get real-time insights into project progress, outstanding issues, and documentation history—all in one place.
3. Collaboration
The Project Portal connects teams across disciplines—whether internal staff, external consultants, or contractors—via project-specific email groups, submittal tracking, and integrated meetings and communications.
4. Auditability
Every action taken within a project is timestamped and logged, making it easier to track changes, hold teams accountable, and produce reports or documentation when needed.
How It Connects to the Rest of Builterra
The Project Portal isn’t an isolated module. It ties into other Builterra systems:
Inspections: Projects link to inspection templates and workflows, controlling how field data is collected. This improves the data collection process for inspectors while also making it easier to review the data later on or in real-time.
Payment Certificates: Cost tracking and change orders flow from project definitions and team roles. Every want to create a Payment certificate for your contractor in just a few clicks?
Tendering & Bidding: Project setup provides the foundation for future tenders or estimates.
SUE & Task Portals: All field activities are organized around the projects defined here.
How to Navigate the Project Portal
To find the Project portal, click the 'Project' button on the Builterra Welcome Page.
This brings you to the project selection page. This page lists all of the projects and includes a few other features at your disposal:
Feature(s) | Description |
Map | View all project locations on an interactive map. Click on a project pin and select Open to launch the project and begin task management for the day. |
Log & To Do | Access a consolidated view of activity logs and task lists for all projects you’re assigned to. Use this tab to track progress and manage outstanding work across multiple sites. |
User | View and manage project data organized by user. This tab provides a user-centric breakdown of all the projects you have access to. |
Activity | Review project activities including RFIs, Submittals, Tasks, Inspections, and Forms. Click any category to drill down into the corresponding data segment for more detailed insights. |
Approvals | Approve, reject, or review incoming document requests such as inspection reports, payment certificates (PCs), and tenders. Centralizes approval workflows for better oversight and control. |
Bulk Actions | Perform bulk edits or create multiple projects at once. This tab also includes access to account-wide features such as the Inspection Summary page. |
How to Navigate the Project Page
On the Projects page, you can select a project you wish to view, edit, or add to. Admin Users can create "Project groups" which allows users to filter their projects based on the selected group(s). Users can also search for their projects by the name or project number. Finally, you can deselect the "Active" checkmark if you think you're project is deactivated. Projects are usually manually set as deactivated when they are completed and the user doesn't want it to show in the project list by default.
Selecting a project will display details for that project on the middle of the screen. Users can click on the various tabs to view the relevant project data.
